We are seeking an all-knowing, all-caring, front-of-house & administration angel for Zhong Centre; Australia’s leading TCM clinic, offering cosmetic (or aesthetic) acupuncture, health acupuncture, and intravenous (IV) vitamin therapy.  We’re not a regular TCM clinic, we’re a *cool* TCM clinic!

Working alongside a team of registered Acupuncturists and Nurses, you will be the first and last point of contact for all clients who come into the clinic. You’ll be the voice on the phone and the magic behind the emails; the one who our clients will get to know as well as they know their practitioner. Your high energy, coupled with the professionalism of wanting to be the best you can be, and the need to lift others around you up will exude from the reception desk, right down the halls and into the treatment rooms.

Your outward enthusiasm will be equally matched by your inward desire to be organised and in control of each day – Yin Yang anyone? Client relations are just as important as what happens behind the scenes, and these responsibilities will include administration, taking care of stock, organisation of the clinic’s booking system, and keeping the presentation of the rooms and front desk to the highest of standards.  Your foresight is unmatched, multitasking your thang, and your initiative a thing of beauty!

Position Summary  Provide a high standard of customer service to guarantee repeat business and to maximise customer sales by selling. This person will be able to work well independently, in a team and with leadership. Exceptional communication skills between clients and staff, both verbal and written. The maintenance of short, medium and longer-term goals and projects for Zhong Centre and ability to prioritise workload.

Role Responsibilities:

  • Customer service  
  • Performing clinic set-up/pack down and cleaning as per agreed procedures and standards;  
  • Adhering to the clinic’s presentation standards, procedures, and service.  
  • Daily correspondence via phone and social media communication.  
  • Daily running of clinic administration + appointments including follow-ups with new clients/existing clients, cancellations  
  • Ensuring pre-payments are taken via phone bookings 
  • Execution of smooth handover of information to next employee on shift 
  • Adhering to the Zhong Centre appointment cancellation policies 
  • Assisting the clinic manager with tasks and projects and supporting the practitioners during the clinic shift
  • Ensuring clients’ needs and expectations are met;  
  • Ensuring all clients’ requests and questions are dealt with promptly (by phone, email, and in person), and to the  guests’ satisfaction  
  • Act as a liaison between patients and practitioners  
  • Act as the ‘face’ of Zhong Centre and its representation 
  • Building ongoing rapport with regular clients to ensure repeat business; 
  • Ensuring that any client complaints are handled professionally or passed onto the Clinic Manager 
  • Drive high standards of service and ensure positive outcomes for clients
  • Reporting any necessary repairs or maintenance to the Clinic Manager 
  • Providing practitioners support in increasing sales Productivity and moral  
  • working as part of a team to ensure that all tasks are completed in order of priority and within an allotted  time frame;  
  • Maintains and develops own specialised skills and embraces skill extension, innovation, and change. 
  • Stock ordering and stocktake process 
  • Assistance with Event and Seminar Management 
  • Working with the Clinic Director and Clinic Manager to implement business strategies to help the clinic meet business goals and targets.  
  • Contributing new ideas that may improve guest service or departmental operations; 
  • Being self-motivated, able to follow directions accurately and to work as an integral part of the team;  
  • Feedback of client comments to practitioners/ staff and Dr Abbie 

 

Skills & Qualifications

  • Proven success in leadership roles is required
  • Exceptional written and verbal communication skills
  • Skillful thinking and the ability to exercise sound judgment when making decisions.
  • Must be customer service oriented and prepared to liaise with patients, their families, and other care providers
  • Extremely organised and detail-oriented
  • Prior experience working in a clinical or healthcare setting is preferred
